Description
OverviewWorcester Country Club, Home of the First Ryder Cup, 1925 US Open, and 1960 US Women's Open has begun their search for the important position of Director of Outside Services. This position reports directly to the Head Professional and is an important steward of the Professional Staff and very front facing position for this hospitality minded individual.
This position is responsible for overseeing the daily outside golf operation and managing all aspects of the Club's 100+ robust caddie program to ensure an exceptional member experience. As the Club operates without scheduled tee times, this position manages the flow of play from the first tee, coordinates caddie training and daily assignments, works closely with golf professionals, manages outside services staff, and provides personalized service while preserving the Club's traditions and standards.
Staff camaraderie, maturity, patience, and work ethic are of the utmost importance of this position.
Experience Required
- Bachelor's degree in Hospitality Management, Business, Sports Management, or a related field preferred but not required.
- Three to five years of progressively responsible experience in golf operations or private club management, ideally in a private club.
- Previous experience managing or involvement with private club caddie program strongly preferred.
- Comprehensive knowledge of golf operations, basic club repair, etiquette, and private club service standards.
- Adaquete golfer and comfortable playing with different personalities, skill levels, and ages as needed.
Essential Responsibilities
Golf Operations and Pro Shop Support
- Oversee the daily operation of the outside services including range, bag room, practice facilities, cart barn, and first-tee operations. Ensure all areas are neat and professional.
- Serve as the primary manager of day-to-day outside golf operations in support of the Head Professional's expectations.
- Ensure proper staff scheduling within budgeted guidelines to reflect daily activity and event schedule.
- In coordination with golf professionals, manage the orderly flow of play from the first tee while balancing member preferences, groups, and overall course capacity in a non-tee-time environment.
- Support Assistant Golf Professionals with tournaments, events, outings as needed.
- Ensure Whoosh Tee Sheet is set up, accurate and updated daily. Monitor pace of play in conjunction with the Professional Staff and proactively address delays to ensure an enjoyable golf experience.
- Ensure golf carts, pull carts, rental clubs, practice balls, and practice facilities are properly maintained, inventoried, and prepared each day.
- Coordinate daily bag storage operations, club cleaning, and equipment staging to provide seamless service for members and guests.
- Assist with planning and execution of tournaments, member-guest events, club championships, and special golf functions.
- Maintain inventory of materials including but not limited to pencils, tees, towels, ball marks, divot tools, scorecards and divot sand.
- Support Professional Staff in the efficient operation of the Golf Shop as needed. Support with open and closing upon request. Shoulder seasons will require more assistance in the shop where training will be provided. Candidate shoud be willing to help out as needed in the shop.
- Upon request, process retail sales, member charges, tournament registrations, and daily financial transactions using the Club's point-of-sale system.
- Perform basic club repair services, including club regripping.
- Enforce Club policies, Rules of Golf, pace-of-play standards, and golf etiquette while fostering a welcoming and professional environment.
Caddie Program Management
- Identify caddie availability on a weekly basis through the best practices already in place.
- Coordinate daily caddie sign in and assignments based on member preferences, caddie experience, and availability.
- Develop comprehensive training programs with Head Professional emphasizing member service.
- Maintain operational reports related to caddie utilization
- Mentor caddies, provide ongoing coaching and development based on member feedback.
- Maintain accurate payroll, attendance, and assignment records for outside services staff.
- Plans and manages Annual Caddie Banquet.
- Ensure all caddies present a professional appearance and consistently meet the Club's service expectations.
- Promote a positive, respectful, and team-oriented caddie culture.
Member Experience
- Serve as a visible and welcoming presence throughout the golf operation.
- Build strong relationships with members and guests through attentive, personalized service.
- Anticipate member needs and respond promptly to requests or concerns.
- Assist with tournaments, member events, guest days, and club competitions.
- Foster a welcoming atmosphere that reflects the traditions and values of the Club.
- Solicit feedback on caddie experience.
Staff Leadership
- Manages outside services personnel, bag room attendants, and caddies to deliver exceptional member service.
- Communicate event schedule to staff in a timely manner.
- Review caddie feedback on an ongoing basis.
- Prepare daily staffing schedules based on anticipated member play and special events.
- Promote teamwork, accountability, and exceptional service standards.
Administrative Responsibilities
- Maintain caddie assignment logs, payroll records, and operational reports.
- Assist in managing departmental budgets and labor expenses. Assure staffing pattern is in line with budget.
- Coordinate outside equipment maintenance and operational supplies.
- Recommend improvements to enhance operational efficiency and member satisfaction.
- Ensure compliance with all Club policies, safety procedures, and employment regulations.
Working Conditions:
- Ability to work weekends, holidays, and flexible hours during the golf season
- Work outdoors in varying weather conditions.
Physical Requirements
- Ability to play golf.
- Ability to stand and walk for extended periods throughout the day.
- Lift and carry up to 40 pounds
